We are looking for a venue operations manager to work on events at Book My Show Live. The role includes the planning and management of the day-to-day venue operations of events. This role involves coordinating with various teams (both internal and external), managing logistics, and ensuring that events are executed smoothly and efficiently. Leading a team to work with all stakeholders to ensure they understand their roles and responsibilities and events are delivered on time and on budget.

Overall, this position requires a blend of organizational skills, leadership abilities, and a keen attention to detail to execute successful events that meet both client expectations and operational standards.

 

Your Profile

  1. Event Planning:  working with all heads of department to ensure the effective planning for the delivery of the event for all stakeholders
  2. Budget Planning:  Working with all heads of departments to ensure cost-effectiveness of each budget.
  3. Layouts: Working across all departments to ensure the venue layout and flows are optimizing the available space and planned for event day.
  4. Vendor Management: Work with vendors and suppliers to secure required services and materials. These would include but not limited to security, housekeeping, waste segregations, washrooms etc.
  5. Logistics Coordination: Oversee logistics such as the delivery of goods to the event site.
  6. Signage: Work with the brands department to develop a signage plan for both ingress and egress of each venue.
  7. Accreditation: Work with the internal team to ensure that accreditation is planned for the size and type of event.
  8. Crisis Management: Handle any issues that arise during events quickly and efficiently addressing issues in real time to minimize impact.
  9. Compliance: Ensure compliance with insurance, legal, health and safety obligations
  10. Document Management: Ensure document management is followed and maintained
  11. Post-Event Evaluation: Reviewing the success of each event and making recommendations for future improvements. Working with business teams and all departments to generate post event evaluation.

 

Your Checklist

  1. Minimum of 8 - 10 years of experience in event planning and management.
  2. Proven track record of successfully managing large-scale events.
  3. Excellent written and verbal communications skills
  4. Solid organizational skills including attention to detail and multi-tasking skills
  5. Providing leadership, motivation, direction and support to your team.
  6. Experience in project & strategy planning and time & risk management
  7. Have a problem-solving aptitude
  8. Ability to adapt to last-minute changes and manage stress effectively.
  9. Understanding and ensure compliance with health and safety regulations, (Risk Assessment, Crowd Management etc)
  10. Experience with budget management and cost control.
  11. Flexibility to work long hours and weekends as needed.
  12. The role will require may require working at weekends for specific events including travel to
    different venues.
