Consultant - Venue Operations (Live Events)

We are looking for a venue operations manager to work on events at Book My Show Live. The role includes the planning and management of the day-to-day venue operations of events. This role involves coordinating with various teams (both internal and external), managing logistics, and ensuring that events are executed smoothly and efficiently. Leading a team to work with all stakeholders to ensure they understand their roles and responsibilities and events are delivered on time and on budget.
Overall, this position requires a blend of organizational skills, leadership abilities, and a keen attention to detail to execute successful events that meet both client expectations and operational standards.
Your Profile
- Event Planning: working with all heads of department to ensure the effective planning for the delivery of the event for all stakeholders
- Budget Planning: Working with all heads of departments to ensure cost-effectiveness of each budget.
- Layouts: Working across all departments to ensure the venue layout and flows are optimizing the available space and planned for event day.
- Vendor Management: Work with vendors and suppliers to secure required services and materials. These would include but not limited to security, housekeeping, waste segregations, washrooms etc.
- Logistics Coordination: Oversee logistics such as the delivery of goods to the event site.
- Signage: Work with the brands department to develop a signage plan for both ingress and egress of each venue.
- Accreditation: Work with the internal team to ensure that accreditation is planned for the size and type of event.
- Crisis Management: Handle any issues that arise during events quickly and efficiently addressing issues in real time to minimize impact.
- Compliance: Ensure compliance with insurance, legal, health and safety obligations
- Document Management: Ensure document management is followed and maintained
- Post-Event Evaluation: Reviewing the success of each event and making recommendations for future improvements. Working with business teams and all departments to generate post event evaluation.
Your Checklist
- Minimum of 8 - 10 years of experience in event planning and management.
- Proven track record of successfully managing large-scale events.
- Excellent written and verbal communications skills
- Solid organizational skills including attention to detail and multi-tasking skills
- Providing leadership, motivation, direction and support to your team.
- Experience in project & strategy planning and time & risk management
- Have a problem-solving aptitude
- Ability to adapt to last-minute changes and manage stress effectively.
- Understanding and ensure compliance with health and safety regulations, (Risk Assessment, Crowd Management etc)
- Experience with budget management and cost control.
- Flexibility to work long hours and weekends as needed.
- The role will require may require working at weekends for specific events including travel to
different venues.
