Your Profile
 
We are seeking a detail-oriented and dynamic Event Project Manager to lead the planning and
execution of BMSF’s cause related and promotional events. The ideal candidate should have a
passion for event management, exceptional organizational skills, and the ability to coordinate multiple
projects simultaneously. The candidate will work closely with internal teams, vendors, and clients to
ensure seamless event execution that aligns with the objectives of the Foundation.

Event Conceptualization & Execution

  • Ideate and Conceptualize standalone events for BMSF
  • Collaborate with BookMyShow (BMS) teams to integrate BMSF visibility at all BMS events.
  • Event programming and flow
  • Execution of event: End to end seamless execution of the event from start to finish.

Event Planning and Design:

  • Create comprehensive plans to cover all aspects of the event, including objectives, budget,
    timeline, target audience, and measurable outcomes/deliverables.
  • Collaborate with internal and external stakeholders to define event goals, objectives, and
    target audience.
  • Collaborate with vendors to develop a theme, design promotional materials, and set the
    overall tone of the event.
  • Research, identify potential event venues, dates, execution timelines

Event Venue Selection and Management:

  • Research and select appropriate venues while ensuring they meet objectives & requirements.
  • Coordinate with the venue management team to arrange necessary facilities, all on ground requirements to host the event, along with parking, security, catering etc

Event Budget Management:

  • Create and manage event budgets, tracking expenses against allocated funds.
  • Negotiate contracts with vendors and suppliers to secure the best pricing.

On-Site Execution:

  • Lead the event team on-site to manage operations and address any issues that arise.
  • Monitor event progress, ensuring adherence to schedule and plan.
  • Manage guest relations and address any concerns.

Supplier & Vendor Management:

  • Identify, source, and vet potential vendors (technical equipment, caterers, entertainment,
    etc.).
  • Manage vendor relationships, ensuring timely delivery of services and adherence to
    contracts.
  • Event Logistics Coordination:
  • Arrange transportation, accommodations, and other logistical needs for attendees and event
    staff.
  • Coordinate site setup, including decorations, signage, and technical equipment.

Customer Service and Attendee Engagement:

  • Understand the needs and expectations of attendees, addressing concerns and creating
    engaging event programs.
  • Risk Assessment and Contingency Planning:
  • Identify potential risks and develop contingency plans.
  • Implement safety protocols to ensure attendee well-being.

Marketing and Promotion (Optional):

  • Develop marketing strategies to promote events and maximize attendance.
  • Utilize social media, email marketing, and digital channels for event promotion.

Event Registration and Ticketing:

  • Create event invitee / guest list
  • Oversee the registration and ticketing process to ensure efficiency and user-friendliness.
  • Manage online registration systems and track ticket sales.

Post-Event Analysis:

  • Conduct post-event evaluations to assess success metrics and identify areas for
    improvement.
  • Prepare comprehensive reports summarizing event outcomes and financial data.

Event Documentation and Reporting:

  • Maintain detailed records of event activities, budgets, and performance metrics.
  • Provide valuable insights into the event's success and areas for future growth.

Your Checklist

  • Proven experience as an event manager.
  • Proven ability to plan, execute, and monitor complex projects within deadlines and budgets.
  • Skilled in project management with knowledge of KPIs and marketing techniques for event management.
  • Familiarity with local regulations and permitting requirements for events.
  • Organizational Skills: Strong attention to detail and ability to manage multiple tasks simultaneously.
  • Industry-Specific Knowledge: Should be in sync with industry developments and latest updates 
  • Marketing & Promotion: Familiarity with all event related marketing requirement
  • Communication & Negotiation Skills: Excellent written and verbal communication to effectively interact with stakeholders, vendors, and team members, along with and negotiation abilities.
  • Teamwork & Leadership: Strong collaboration skills with the ability to lead and motivate a team.
  • Problem-Solving Skills: Ability to quickly identify and resolve issues that may arise during event planning and execution.
  • Budgeting Skills: Experience with budget planning and management.
  • Time Management & Multitasking: Ability to prioritize tasks and make quick decisions under pressure.
  • Customer Service Oriented
  • Computer-Savvy: proficient in MS Office, Canva or similar

Educational Background:

  • Bachelors/ Post Grad Degree/ Diploma / MBA in Event Management
  • BBA with a specialization in Event Management
