The company has developed 'BookMyShow Stream', India's largest home-grown transactional video-on-demand (TVOD) platform.
Role Overview
We are looking for a highly organised, proactive and discreet Executive Assistant to support the Chief Business Officer of Live Events. This is a high-impact role that sits at the heart of a fast-paced, dynamic business unit. Given the CBO's extensive domestic and international travel schedule, this role demands someone who can operate with complete autonomy across time zones — keeping priorities on track, communications flowing, and decisions moving regardless of geography. The ideal candidate will be a trusted partner who enables the CBO to operate at peak effectiveness — managing their time, information flow, and priorities with precision and professionalism.
Your Profile
Calendar & Schedule Management
- Own and manage the CBO's complex calendar — scheduling meetings, resolving conflicts, and ensuring appropriate preparation time before engagements.
- Proactively identify gaps, overlaps, and scheduling conflicts; recommend prioritisation aligned with
business goals. - Issue timely reminders for deadlines, follow-ups, and key deliverables.
- Manage scheduling across multiple time zones — coordinate meetings, calls and commitments
intelligently around the CBO's travel calendar, ensuring no conflict between in-destination engagements and home-base obligations. - Maintain a real-time view of the CBO's location and time zone at all times; adjust communication cadences, reminders, and meeting invitations accordingly.
- Ensure the CBO is never unreachable during critical windows — establish clear protocols for urgent
escalations when they are in transit or operating in significantly different time zones.
Travel & Logistics
- Arrange end-to-end domestic and international travel — flights, accommodation, ground transport, visas, and itineraries.
- Coordinate travel schedules with cross-functional leaders and external stakeholders to align availability.
- Manage bookings and logistics for events, offsites, and leadership meetings, including venue, AV, and catering requirements.
- Curate and manage guest lists for Live Events — coordinating invitations, RSVPs, accreditations, and on-ground experience for high-profile external guests including artists, sponsors, media, and VIP attendees.
- Serve as the primary point of contact for senior external guests and dignitaries attending events —
ensuring right hospitality, seamless access and experience end-to-end.
Communications & Stakeholder Management
- Screen and manage inbound calls, emails, and correspondence on behalf of the CBO — responding accurately, professionally, and on time.
- Act as a liaison between the CBO and internal teams, senior leadership, external partners, and vendors.
- Draft, review, and send communications with appropriate tone and discretion.
Reporting & Documentation
- Prepare and compile high-quality reports, presentations and briefing documents for internal and external meetings.
- Maintain organised filing systems and document repositories for the CBO's key priorities and records.
- Support preparation of materials for board meetings, business reviews and strategic sessions.
Office Administration
- Handle sensitive financial information with complete discretion — process expense reports, and
reimbursements accurately and on time. - Manage office logistics including conference room bookings, equipment procurement, and facility
coordination. - Oversee day-to-day administrative operations to ensure the CBO's environment is organised and efficient.
Your Checklist
- 2–4 years of prior experience supporting senior leadership as an Executive Assistant, Executive Secretary or Office Manager
- Strong ability to adhere to and optimize established processes for operational efficiency
- Strong organizational and time management skills with the ability to handle multiple priorities
- Clear, professional communication skills with the ability to engage effectively with stakeholders at all levels, both internal and external
- Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint) and Google Workspace (Docs, Calendar etc.)
- Demonstrated ability to multitask, prioritize, and execute tasks in a fast-paced, dynamic environment
- Meticulous attention to detail, ensuring accuracy and consistency in all deliverables
